How to Choose a Wedding Planner in Utah (And Why You Actually Need One)

The most common thing I hear from couples who didn’t hire a planner: “I wish we had.”

After photographing over 200 weddings, I’ve seen both sides. The weddings with planners run smoother, feel more relaxed, and let the couple actually enjoy their day. The weddings without planners often have the couple (or their mom) running around solving problems instead of celebrating.

Here’s my honest guide to choosing a wedding planner in Utah—and why it’s one of the best investments you can make.

Do You Actually Need a Wedding Planner?

Short answer: probably yes.

Longer answer: It depends on your venue, your guest count, and how much you want to be involved in day-of logistics.

You definitely need a planner if:

  • Your guest count is over 100
  • You’re having a multi-venue wedding
  • You’re planning from out of state
  • You have a complex timeline or lots of moving parts
  • You want to actually enjoy your wedding day without managing vendors

You might be okay without one if:

  • Your venue includes a coordinator
  • You’re having a very small, simple celebration
  • You have a highly organized family member who can manage logistics

Important distinction: A venue coordinator is NOT the same as a wedding planner. A venue coordinator manages the venue. A wedding planner manages your entire day.

Types of Wedding Planning Services

Full Planning

The planner handles everything from the beginning:

  • Venue search and booking
  • Vendor selection and management
  • Budget tracking
  • Design and styling
  • Timeline creation
  • Day-of coordination

Best for: Couples who want to be involved in decisions but not logistics

Partial Planning

You handle some things, the planner handles others:

  • Usually starts 6-12 months before the wedding
  • Planner takes over vendor management and coordination
  • Great for couples who’ve already booked some vendors

Best for: Couples who’ve started planning but need help finishing

Day-Of Coordination

The planner takes over 4-6 weeks before the wedding:

  • Reviews all vendor contracts
  • Creates detailed timeline
  • Manages all vendors on the wedding day
  • Handles problems so you don’t have to

Best for: Couples who want to plan their own wedding but need someone to execute it

What to Look for in a Utah Wedding Planner

Experience with Your Type of Wedding

Ask about their experience with:

  • Your venue (or similar venues)
  • Your guest count
  • Your style and aesthetic
  • Any cultural or religious traditions

Vendor Relationships

Great planners have strong relationships with Utah vendors. This means:

  • They know who’s reliable and who isn’t
  • They can get you preferred pricing or availability
  • They can solve problems quickly because they know the right people

Communication Style

You’ll be working closely with your planner for months. Make sure:

  • They respond promptly
  • They communicate clearly
  • Their style matches yours (detail-oriented vs. big-picture)
  • You actually like them

Problem-Solving Ability

Ask them: “Tell me about a time something went wrong at a wedding and how you handled it.”

The answer will tell you everything.

Questions to Ask Before Booking

About their experience:

  • How many weddings do you coordinate per year?
  • Have you worked at my venue before?
  • What’s your experience with my guest count?

About their process:

  • What does your planning process look like?
  • How do you handle vendor communication?
  • What’s your approach to timeline creation?

About the day-of:

  • Will you be there personally, or will you send an assistant?
  • How do you handle unexpected problems?
  • What’s your communication plan for the wedding day?

About working together:

  • How do you prefer to communicate?
  • What do you need from us to do your best work?
  • What’s your availability leading up to the wedding?

My Favorite Utah Wedding Planners

After photographing hundreds of weddings, I’ve worked with a lot of planners. These are the ones I trust with my couples:

Red Canyon Events

Organized, detail-oriented, and incredibly calm under pressure. They handle logistics beautifully so couples can be present on their wedding day. Their mantra is “Your day, your way” and they definitely help you accomplish just that.

Norman Events

Creative vision paired with flawless execution. They think of details you didn’t know you needed and bring a strong design sensibility to every wedding.

Aspen Events

Warm, personable, and incredibly responsive. They make couples feel cared for throughout the entire planning process—like having a knowledgeable friend in your corner.

The Photographer-Planner Relationship

As a photographer, I work closely with planners on every wedding. When the planner and photographer are aligned, the day runs beautifully.

Here’s what I need from a planner:

  • A detailed timeline shared in advance
  • Clear communication about any changes
  • Coordination on family photo logistics
  • A point of contact for day-of questions

The planners I recommend understand this. They make my job easier, which means better photos for you.

Investment in a Utah Wedding Planner

Wedding planning services in Utah typically range from:

  • Day-of coordination: $1,500-$3,000
  • Partial planning: $3,000-$6,000
  • Full planning: $5,000-$15,000+

This is one of the best investments you can make for your wedding day. The peace of mind alone is worth it.

Final Thoughts

A great wedding planner doesn’t just manage logistics—they protect your experience. They handle the problems you don’t know about. They keep your day running smoothly so you can be present for the moments that matter.

After 200+ weddings, I can tell you: the couples who hire great planners have better wedding days. Not because everything goes perfectly, but because when things don’t go perfectly, someone else handles it.

That’s worth every penny.
